Recap of CLFHA/Astros Team Rep Responsibilities:
Every team MUST have a team rep who sits on the CLFHA board for a two-year term -
details for responsibilities for CLFHA board members are available in the "CLFHA Policies and Regulations" document, which
is available from the CLFHA website - www.geocities.com/clfha.
One of the key responsibilities is to attend a meeting once a month
(usually the 3rd Thursday of every month), which lasts about 2 hours. We do not usually meet in July or December, so
it's about 10 meetings in total. If the CLFHA team rep. is not able to attend the CLFHA executive meeting, it is her
responsibility to contact the alternate team rep. and/or other designate to attend the meeting and represent the team.
Every member of the board also has a "job" ... some reps have more than
one "job" on the board, so the goal is to get more of our other board members/team reps involved. Some of the jobs take more
time, so it's up to the team rep to show up to the January meeting to select the job they want. If the team rep (or alternate)
does not show up to that meeting (or at least indicate their preference for a job), then one is assigned to them.
A. CLFHA Executive Board
- In order for teams to be eligible for play in the CLFHA outdoor leagues, each TEAM must have a representative
on the CLFHA executive board.
- The team representative must attend all CLFHA meetings or send a delegate from the team.
- Clubs have the responsibility to appoint/elect two members from their club who will serve on the Board for a two-year
term (to ensure a representative is at the meetings).
B. ASTROS FIELD HOCKEY CLUB Team Reps
- Review of Team Representative Responsibilities
- CLFHA Team Rep. must attend ALL CLFHA executive meetings OR send a designate in their place
if they are unable to attend a meeting.
- Organize and communicate information to all players on their team regarding CLFHA and Astros
FHC policies, fees, fee collection, league and umpiring schedules, casinos, uniforms, etc.
- Team rep(s) may also delegate some of the organizational and team tasks/responsibilities to
other players on the team. Examples include:
- Team kit (team skirts, extra uniforms, first-aid kit)
- Score sheets (each team will get some blank score sheets;
the task is simply to fill out the score sheet at the end of the game, have the umpires sign it, and then either hand in,
fax, or E-mail the results, including who umpired, to Anita and/or me)
- Reminders (E-mail or phone call) to team member regarding upcoming games, etc.
- CLFHA Team Rep and at least ONE other representative must attend the CLFHA Annual General Meeting
(AGM) in November.

Review of Team Equipment Responsibilities
- Goalie Equipment
- All team reps are responsible for the team goalie equipment.
- The respective team pays for the replacement of any equipment missing at the end of the season.
- If any of the equipment needs repair, please bring it in and we will discuss whether it is better
to repair or replace it. Individual goalies are responsible for their own helmet.
- Team Kit
- Each team has a team bag with team skirts (fancy that); hint - you should have the same number
of skirts at the end of the season as you had at the beginning of the season ... please count the number of skirts PRIOR to
the season, so we know how many we have to start.
- Most of our teams implement
a skirt deposit (post-dated cheque for $40). However, team reps. will probably
want to keep a couple of extra skirts with the first-aid kit (just in case).
- The team rep(s) will be responsible for collecting the team fees AND also the skirt deposits.
Once all the skirt deposits have been collected, put it in an envelope in the skirt bag. At the end of the season, bring the
skirt bag to collect the skirts and then hand back the skirt deposits to the players as they return their skirts.
- Indoor/Outdoor Balls
- Team reps are responsible for the balls.
- Each team should have a minimum of six balls. The respective team pays for the replacement of
any missing balls at the end of the season.
- First Aid Kits
- Team reps are responsible for the first aid kit and ice packs.
The Astros club will replenish ice packs on an 'as required' basis.
